SUMMARY
THIS ROLE WILL FOCUS ON RECRUITMENT AND ONBOARDING FOR THE FIRST 6 MONTHS.
The HR Generalist ensures that HR operations, recruiting and onboarding workflows, personnel documentation, and employee support processes are completed accurately, efficiently, and in compliance with organizational and regulatory requirements. This role manages key components of the employee experience—including recruiting and orientation, communications, compliance documentation, and transactional HR services—to support a smooth, seamless, and timely HR workflow.
The Generalist serves as a collaborative partner across HR, Compliance, Training, and departmental leaders to promote a consistent, positive employee experience and maintain the integrity of HR systems and records.
RESPONSIBILITIES
- Completes fingerprinting for all new hires, rehires, and contractors, ensuring compliance with onboarding and regulatory requirements.
- Conducts ongoing auditing and maintenance of personnel files (electronic and paper) to ensure accuracy, compliance, and readiness for internal and external reviews.
- Partners closely with Compliance and designated HR staff to uphold agency, state, and federal compliance standards across all HR processes.
- Responds to inquiries via the HR phone line and monitors the HR inbox, providing timely, accurate support to employees and external stakeholders.
- Serves as proxy host for full orientation sessions when the primary trainer is unavailable, ensuring uninterrupted onboarding operations.
- Delivers the HR section of New Hire Orientation, communicating policies, benefits, culture, and compliance requirements.
- Collaborates with Training on tracking and maintaining staff trainings and add‑ons, ensuring all employees meet required certifications and deadlines.
- Creates and distributes internal HR communications, including but not limited to annual COLA letters, reminders, and policy and termination announcements.
- Processes incoming HR mail and employment verification requests, ensuring timely, compliant handling of sensitive information.
- Co‑leads ownership of the Mentorship Program in partnership with Training, supporting new employee integration and growth.
- Provides Paycor Simple Solves assistance, including password resets, paystub retrieval, and employee troubleshooting.
- Manages post‑offer onboarding tasks, ensuring smooth transition from candidate to new hire and maintaining workflow accuracy.
- Prepares and sends offer letters via DocuSign, ensuring accuracy and timely delivery to candidates.
- Tracks completion of all onboarding documentation, following up with candidates to ensure all required forms are submitted prior to start date.
- Issues hire‑related communications, including first‑day instructions, new hire updates, and manager confirmations.
- Completes and submits the New Employee Information Form (NEIF) to eoo@laddinc.org within required timelines.
- Supports consistent, positive employee experience by modeling The LADD Way and fostering effective communication across departments.
REQUIRED QUALIFICATIONS AND EXPERIENCE
- High school diploma or equivalent required.
- At least 3 years of experience owning all or most of recruitment for a growing organization.
- 2 - 5 years of experience in Human Resources, onboarding, compliance, or related administrative support roles preferred.
- Excellent written and verbal communication skills, with the ability to explain HR policies and processes clearly to employees and managers.
- Strong organizational skills with the ability to manage high volumes of documentation, deadlines, and multi‑step processes.
- Ability to maintain confidentiality and use discretion when handling sensitive HR information.
