The Opportunity
The Legal Operations Coordinator / Contracts Administrator provides critical operational and administrative support to Planview’s Legal department, managing the end-to-end contracting process, legal operations systems, and compliance activities. This role works in close coordination with Legal, Finance, Procurement, and external vendors to ensure efficient contract lifecycle management and legal operations.
What You'll Do
Legal Operations & Workflow Management
- Manage and support legal intake and workflow for internal and external inquiries and respond timely to inquiries received, including intake criteria, assignment, and routing within the legal department and escalating as appropriate.
- Assigning work out of Atom (legal workflow system) and updating queue status.
- Managing Legal inbox - initial triage, categorization, and routing of requests.
- Manage initial risk analysis in Chamelio (AI contract review tool).
- Run initial contract reviews through Chamelio.
- Flag issues for attorney review.
- Track AI-identified risks.
- Enforce contracting process, structure, and guidelines as well as usage of our contract management tool with internal teams.
Contract Management & Execution
- Support and manage the contracting process in the contract management database in close coordination with Planview’s Legal and Finance departments, Procurement, and external vendors as needed, including:
- Manage and maintain contract management and legal operations databases, including:
- Uploading executed documents accurately to the appropriate files.
- Completing data entries in contract management databases.
- Updating agreement records in Salesforce (SFDC) ensuring data accuracy and completeness.
- Contract data structure, metadata, and reporting (e.g., contract scoring, tagging, risk tracking).
- Contract validation for signature.
- Verify all required fields are completed.
- Ensure proper signatory authority.
- Confirm contract completeness before routing for execution.
- Process Electronic Signatures for contracts using e-signature tools and manage contract execution process end-to-end.
- Track contracts through execution workflow.
- Chase signatures and follow up on pending executions.
- Confirm execution completion and update systems.
- Processing customer termination notices.
- Receive and log termination notices.
- Update contract status in systems.
- Route to appropriate team members for action.
Contract Review & Risk Assessment
- Review and negotiate NDAs.
- Manage legal review of RFP responses, including:
- Compliance queries for RFPs - respond to standard compliance questions.
- Certificate of Insurance (COI) and insurance queries for RFPs - coordinate with insurance team and respond to standard insurance questions.
Compliance & Corporate Support
- Annual compliance projects assistance (under supervision of CLO/Privacy Lead).
- Support ISO certification audits (evidence collection, organization).
- Assist with policy rollout projects.
- Coordinate compliance documentation and filings.
- KYC (Know Your Customer) support.
- Collect and organize KYC documentation.
- Coordinate with customers on KYC requests.
- Maintain KYC records.
- CSC (Corporate Service Company) filing data completion.
- Prepare data for entity maintenance filings.
- Coordinate with registered agents and CSC providers.
- Track filing deadlines and confirmations.
- Assignment letter projects.
- When contracts are assigned between legal entities, prepare assignment notices.
- Coordinate customer notifications regarding entity assignments.
- Track assignment completion and update systems.
Vendor & Financial Administration
- iValua Purchase Requisitions (PRs) and invoice management for Legal vendors.
- Create purchase requisitions for legal services (outside counsel, software, etc.).
- Process legal vendor invoices for payment.
- Track legal spend against budgets.
- Coordinate with Finance on invoice approvals.
Document Formatting & Template Management
- Formatting for new policies and templates.
- Apply proper formatting, numbering, and styles to legal documents.
- Ensure templates meet company branding and formatting standards.
- Finalize document formatting for distribution.
Additional Support:
Assist Legal team with other projects as assigned.
What You'll Bring
Required
- At least 5 years of relevant professional business, deal desk, paralegal and/or contract management experience (SaaS experience is a plus).
- A Bachelor’s degree from an accredited college or university or equivalent combination of skills and experience.
- Strong Microsoft Office Skills including Word, Outlook, Excel, and PowerPoint.
- Experience using CLM and CRM systems (Salesforce experience required), experience with legal workflow/AI tools highly desirable.
- Ability to thrive in fast-paced environment, utilizing effective organizational skills to prioritize and manage deadlines for multiple simultaneous projects for multiple stakeholders.
- Demonstrate ability to multitask and prioritize, as needed.
- Ability to work both independently and collaboratively in a cross-department and cross-functional role.
- A highly detailed approach to the review and redlining of contracts, order forms, NDA terms and conditions, and the ability to courteously and succinctly communicate contract management positions and policies to internal clients and cross-functional teams.
- Strong writing skills, with the ability to communicate clearly, concisely, and professionally across all levels of the organization.
- A solid understanding of basic contracting principles, legal vocabulary, and concepts with a hunger/willingness to learn and expand knowledge base.

Total scope: This is a full-time role supporting 5 attorneys across multiple geographies with significant legal operations, contract administration, and compliance coordination responsibilities.
