Sport Signage are looking for a Event & Project Operations Assistant to join our Commercial / Project Coordination team.

The Event & Project Operations role supports the transition from commercial scope into organised project delivery by maintaining clear project information, actions, changes and cross-functional handovers.

The role sits within the Commercial Director's department and provides project coordination across Commercial, Estimating/Procurement, Design, Operations and support functions.

It is not the overall on-site event owner. For Formula 1, the assigned Operations Manager remains accountable for event delivery.

WHAT YOU WILL BE DOING:

  1. Project Setup
Create a clear project file/structure for assigned work including scope, stakeholders, milestones, approvals, actions and known dependencies.
Confirm the current version of client requirements and identify missing information before handover.
  2. Cross-Functional Coordination
Coordinate actions across Commercial, Estimating/Procurement, Design/Technical-CAD, Operations, Logistics and other support functions.
Maintain clear owners and deadlines and escalate unresolved dependencies.
  3. Handover to Delivery
Support structured handover meetings and ensure the delivery owner receives current scope, drawings, supplier information, approvals, assumptions, exclusions and outstanding actions.
Keep handover information current when material changes occur.
  4. Scope & Change Tracking
Maintain a clear log of client changes, new requirements and decisions affecting delivery.
Route items requiring commercial assessment to the Commercial team and communicate approved outcomes to affected functions.
  5. Project Milestones & Readiness
Track key pre-event/project milestones and highlight slippage that threatens delivery readiness.
Support the responsible manager in coordinating recovery actions without assuming their specialist ownership.
  6. Documentation & Data Quality
Maintain organised project records, current files, meeting notes, approvals and relevant closeout information.
Reduce reliance on informal messages or individual memory for important project decisions.
  7. Event/On-Site Support
Attend selected events where project continuity, client coordination or change/documentation support is required.
Support the Operations Manager/DTM Project Lead without displacing their on-site accountability.
  8. Project Closeout & Improvement
Coordinate outstanding project actions, commercial change information, supplier/operational feedback and lessons after delivery.
Identify recurring handover or information-quality issues and recommend improvements.

THE SKILLS AND EXPERIENCE YOU NEED:

  • Project coordination, commercial operations, event production or project-management support experience.
  • Strong ability to organise cross-functional information and multiple deadlines.
  • Experience in live events, motorsport, signage or production is advantageous.
  • Comfort working with both commercial and operational stakeholders.
  • Project coordination and action management.
  • Scope/change tracking.
  • Document and version control.
  • Cross-functional communication.
  • Milestone/readiness tracking.
  • Problem escalation and follow-through.
